There is a new Meetup Group in our area: Introverts United. Okay, I am dead serious. So this begs the questions: Will anyone talk? What will they say? Will there be minutes?
Well, never mind that. Let's talk about the meetings that you attend. In a Microsoft survey 71% of respondents thought the meetings they attended were unproductive. Whether you are conducting the meeting or are a participant, you can affect a change that makes your meetings more meaningful.
Elements to productive meetings:
Create an agenda by getting input from key attendees; establish objectives so they are clear to everyone.
Don't try to accomplish too much during the meeting, it will lose focus and not accomplish what is important.
Send the agenda out prior to the meeting so all participants can offer input as well as come prepared to the meeting.
Don't revisit issues that have already been decided. Rehashing just wastes time.
Add a time frame to each agenda item and invite someone to be the time keeper. We use this technique in our Mastermind meetings, and we get so much done and end on time.
Invite the right people. If you are creating new products or services, invite the people who are good at generating new ideas. If you want to move forward with a new idea, invite the project managers and those that are good at planning.
Engage everyone who is at the meeting - encourage those who have not participated to speak, by asking their opinion.
We spend a lot of time in meetings and much of them extend well beyond the time needed to accomplish the objectives. Making sure that your meetings have value, is another key to managing your days effectively.
