Spring Cleaning for Your Business

Now is a great time to do some Spring Cleaning in your business.  Here are some easy tips to make your business  more productive and your environment less cluttered.
 
1. Paper files
  • Reference files - purge any reference material that is out of date or that you can easily find on the internet.
  • Client Files - if you have not worked with a client in more than an a year, files can be stored in a location outside of your immediate reach - a file cabinet on the other side of your office, down the hall, or at an offsite location. Shred anything you know you will never need to reference again, or is not required to be kept by the IRS.
2. Clean out your computer documents: Delete files containing working drafts that have been completed;
  • Delete folders that are empty 
  • Combine files that have different names, but the same material;
  • Delete files that contain material that you know you will never use again.
3. Clean up those emails:
  • At first glance delete those emails that require no action and that you do not need to reference again.
  • Create folders, similar to the ones for your paper documents, and move emails out of your inbox to these folders for easy access.
  • Make a folder for Urgent Action or Action by a certain date instead of holding emails in your inbox. This eliminates reading emails over and over as they sit in your inbox.
At minimum, files can be cleaned out every 6 months, quarterly may work best in those situations where alot of paper and electronic documents are generated.
 
Don't overwhelm yourself with this project, block out just 15 minutes each day.  While you are on the phone "on hold" you can also be going through a folder.  Before you know it, you will have cleaned out your office.  Just for fun, keep track of how many times you said to yourself "Oh, that is where I put that!".
